Frequently Asked Questions

Important Dates to Remember

  1. Advance freight shipment may arrive at warehouse beginning May 23, 2011 from 9:00 am – 4:00 pm Monday-Friday
  2. Last Day for advance shipments w/o surcharge: June 10, 2011
  3. Materials accepted at the Shepard Exposition Services warehouse after June 10 will incur additional fees.

Exhibitor Information

Please have booths manned at Tuesday’s, June 21 opening reception, during all coffee breaks, Wednesday’s Breakfast and during Wednesday’s lunch.
All food and beverage will be served in the Exhibit hall – Room 146

Hours

Tuesday, June 21

  • Exhibitor Installation: 10:30 am – 3:30 pm
  • Opening reception and raffle prize drawings in Exhibit hall: 4:00 pm – 7:30 pm

Wednesday, June 22

  • Exhibit Hall Open: 8:00 am – 6:00 pm
  • Breakfast in the Exhibit hall: 7:45 am – 8:20 am
  • Coffee Break in the Exhibit hall: 10:00 am – 10:15 am
  • Lunch in the Exhibit hall: 12:00pm – 2:00 pm
  • Coffee Break & Raffle Drawing in the Exhibit hall: 3:30 pm – 4:00 pm
  • The Exhibit hall closet: 4:30 pm
  • Exhibitor move out: 4:30 pm – 7:00 pm

Please note that all exhibit materials must be removed from the Exhibit hall floor by 7:00 pm. Shepard will not be responsible for materials left on the show floor after 7:00 pm.

Electricity

Booth and tabletop packages do not include electrical services. Services must be purchased separately through the Walter E. Washington Convention Center .   Please refer to the exhibitor service kit for pricing and forms.

Outbound

Couriers must pickup all shipments at the Walter E. Washington Convention Center by 7:00 pm on Wednesday, June 22.  A Shepard representative will be available to assist you with your outbound shipping arrangements as needed.

Internet

Internet services must be purchased separately through the Walter E. Washington Convention Center .   Please refer to the exhibitor service kit for fees and the order form.  You will need to fax the form directly to the Walter E. Washington Convention Center. 

Drayage Charges

Drayage/Material Handling - is the unloading of your exhibit materials, delivery to your booth, handling of empty containers to and from storage, and removal of your materials from your booth for reloading onto your outbound carrier. This is not to be confused with the cost to transport your exhibit material to and from the event. Drayage/Material Handling begins when Shepard is in receipt of any freight from you, to the Convention Center.

Pricing

Pricing will be $109.20 per cwt (100 lbs) for advanced receiving and $100.70 cwt (100 lbs) for direct receiving.  There is a 200 lb minimum for both rates.  If your are packages less than 50 lbs, there is a small package fee of $56.33 per carton with a two carton minimum. (Please refer to the Exhibitor Service Manual for additional pricing and special material handling).

Advance shipments to the warehouse: Shepard Exposition Services, 4710 Trident Court, Baltimore, MD 21227 Warehouse operations: Monday-Friday 9:00 am – 4:000 pm – (410) 737-9270.

Teamster Union

Members of this union claim jurisdiction on the operation of all material handling equipment, all unloading and reloading, and handling of empty containers. An exhibitor may move materials that can be carried by hand, by one person in one trip, without the use of dollies, hand trucks, or other mechanical equipment. The Official Service Contractor shall be responsible for all matters in the Dock area. This shall include but not limited to such items as assignment of dock space and loading or unloading of all materials and equipment.

Freight

Freight is “forced” off the floor if the shipment is cosigned to an outside carrier and they do not show up/pick-up within our designated exhibitor move-out period.  If this is the case, Shepard  will follow instructions left on the Outbound Material Handling form in regards to the re-route of the material.

The installation and dismantling of prefabricated displays comes under the jurisdiction of the Carpenter’s Union.
